Co-exhibitor bump-in

Suwito Design and Construction will conduct a hand over of the stand to Investment NSW at 09:00 on Monday, 6 November 2023. To ensure everyone can bump in comfortably and safely, co-exhibitor bump-in will be staggered per the below time slots:

A few things to note: 

  • This does not apply to rovers
  • Please ensure you arrive within the session you are registered for
  • If you have a product display to bump-in and set up, please register for session 1
  • As a courtesy to those with a product display, if you do not have a product display, please register for sessions 2 & 3
  • Please do not arrive later than 15:30
  • All pod set up must be completed on Monday, 6 November 2023. No pods or displays are to be set-up on Tuesday morning.

NOTE: These are not additional exhibitor badges. Only staff who already have AMDA-issued exhibitor badges may register for bump-in. You will be denied entry to the ICC without an exhibitor or bump in badge.

Deliveries and freight

The exclusive on-site handling and official freight forwarder for Indo Pacific is GEL Events.

Freight of all product displays, forklift movements and loading dock access must be booked with GEL Events directly.

Exhibitors are encouraged to hand carry as much as possible and only use Loading Dock access as required for larger items that are unable to be carried. Loading Dock access should be organised through GEL Events.

Digital content

Co-exhibitors

As detailed above, if you would like to display a looping video on your pod screen, you are required to submit prior to Monday, 16 October 2023 for the team to test and load prior to the expo. Any videos not submitted by this date will need to be brought on the day and can be displayed via USB or laptop.

If you would like to display a slide presentation on your pod, you will need to connect a laptop to the screen. HDMI connectivity will be provided. If you are using a Mac, please ensure you bring the relevant adapters. There will be room for the laptop to sit in the cabinet below the screen and not on your pod bench.

Rovers

Please ensure you bring any video content on a laptop to link with the screen via HDMI. If you are using a Mac, please ensure you bring the relevant adapters. There will be room for the laptop to sit in the cabinet below the screen and not on your pod bench.

NOTE: please ensure you have all backup copies of any digital content you wish to display on a laptop or USB.

Storage

Each individual co-exhibitor pod has a lockable cupboard for storage of brochures, merchandise and electronic equipment. There is no capacity for storage of boxes, travel cases or any large items on the stand. Please ensure valuable items are taken with you at the close of each day.

Visiting delegations

The Defence and Aerospace NSW team is coordinating visits to the NSW Government stand with a number of delegations above, as well as supply chain managers from Defence Primes and large SMEs.

Further details will be provided in the coming weeks to ensure that you can maximise these opportunities.

Detailed information regarding the visiting delegations will be released via the Exhibitor Online Portal closer to the date.

Meeting spaces and bookings

Informal meetings

The NSW stand will feature a hospitality area which can be used for informal and/or non commercially sensitive meetings.

Formal meetings

There will be two formal meeting rooms on the stand – Meeting Room A and Meeting Room B (as indicated on floor plan).

Meeting Room A

  • Reserved for NSW Government executive meetings
  • May be extended to co-exhibitors when not in use. Please contact the team at [email protected] if you would like to request the use of this room.

Meeting Room B

  • Available to co-exhibitors for meetings up to 30 minutes
  • Can comfortably fit 5 attendees, and 6 if needed
  • As a courtesy to other co-exhibitors, please only book for confirmed meetings and ensure you cancel accordingly if the room is no longer required.

Meeting room booking system – Skedda

  1. Access the Skedda booking systemExternal Link here and create your account. To create your account, you can either:
    1. Click on the “Register” button at the bottom left of the screen; or
    2. Attempt to book a space (hover over an available timeslot on your preferred day, the timeslot should go green if available, before clicking), which will prompt you to create your account.
  2. Upon clicking the link above, you will be directed to a ‘calendar’ screen. Select the date of your booking.
  3. Once your account has been created, you will be able to make bookings and the “New Booking” screen will appear once a timeslot has been selected. Simply put in the information required on this screen before clicking the green “Confirm Booking” button at the bottom of the page.
  4. Please ensure that all bookings are in line with the following naming conventions:
    1. Booking Title: “Company Name. Point of Contact. Contact Number”
    2. Notes: “Attendees: Harry Foxe, Department of Investment NSW. Jane Smith, Company Name Australia.” etc.

Please note that users are not to book consecutive meetings, and each meeting has a maximum capacity of 6 people. Please contact the team at [email protected] if you have any questions or need to book a meeting over 6 people.

iCapture – Business Lead Capture Tool

Investment NSW will be using iCapture at the Expo, a software to assist with lead capture and qualification.

iCapture will be made available to co-exhibitors wishing to utilise the tool. An email will be circulated following the workshop to register your interest and training will be provided closer to the Expo date.

Leads will be captured across two different platforms. 

QR code

The QR code is targeted at visitors who may be interested in understanding what NSW Government has to offer but are not looking to engage in direct conversations.

The QR code will open to a very short survey intended to:

  • capture their contact details
  • understand the business operations
  • identify areas of interest to assist with follow up actions. 

The QR code (to be shared closer to the event) will be strategically positioned around the stand and on Investment NSW collateral.

Business card capture

Designed to digitally capture business card details, upon scanning the business card, a survey will open up with prompts on:

  • business operations
  • areas of interest
  • follow up actions for NSW Government. 

There is a ‘Key Takeaways’ section at the end which allows for free text. It is important to note that information captured using this method may be visible to other co-exhibitors. Do not include information that is commercially sensitive.

The purpose of this tool is to assist co-exhibitors with real time capture of business leads/contacts. Captures will be shared with each co-exhibitor following the Expo, i.e. you will only receive data for all the captures that you and your team made.
